Privacy Policy & Terms of Use

Privacy Policy

Benesyst believes that protecting your data is important. We strive to protect the personal information under our control and take certain precautions to help maintain the security and integrity of that data.

Information Display

Benesyst uses its online applications to display sensitive personal data. To ensure that all data made available remains confidential, we validate users with a username and password against our data supplied by employers. Further, we employ the latest and most sophisticated commercial secure data transmittal method, Secure Socket Layer (SSL) with 128-bit encryption.

Collection and Use

Benesyst is the sole owner of the information collected on this site. We will not sell, share, or rent this information to others in any way whatsoever. Benesyst collects information from our users at several different points on our website, including during initial password setup and during online enrollment. This information is gathered solely for the purposes of managing and administering the benefit plans that have been entrusted to us The types of personal information we receive may include:
  • Contact information and other identifiers, such as name, address, phone number, email address, government assigned identifier, or bank account number as required to provide our services;
  • Demographic information, such as date of birth, gender, and marital status;
  • Employment information, such as date of hire, employment status, pay history, tax withholding information, performance records, and date of termination; and
  • Benefit program participation and coverage information, such as benefit elections, beneficiary information, claims information, benefit plan account balances or accrued benefits, and date of retirement.

Benesyst's Commitment to Protecting Personally Identifiable Information

We have implemented various security measures to help reduce the risk of unauthorized processing or disclosure of personal information and accidental loss, destruction, or damage to your personal information. We have implemented a computer security policy and related procedures, and we train our employees about data security issues. Only employees who have a job-related need to access personal information are authorized to do so and they have agreed to protect the confidentiality of that information. In addition to these employees, only your employer and particular service providers are authorized to access your personal information. We also require that our subcontractors enter into confidentiality agreements intended to protect your personal information. Our commitment to protecting personally identifiable information also means that:
  • We won't sell your personally identifiable information to any third party; and we won't use, transfer, or disclose your personally identifiable information to anyone outside of Benesyst, unless authorized by you, except in connection with your employer's plans and programs, as required by law or legal process, in response to law enforcement requests, and as necessary to protect the property, interests, and rights of Benesyst and/or your employer.
  • We will never share aggregated demographic or specific personal information with anyone. We host our own web applications and utilize only internal systems to manage the data we hold in confidence.

Making Corrections

Benesyst is committed to accurately maintaining your personally identifiable information. Although we can't guarantee that your personal information will be 100% accurate at all times, we'll take reasonable steps to correct personal information that is properly identified as incorrect. If you need to update or correct your personal information contact, customerservice@benesyst.net. Please understand that, in some circumstances, only your employer, and not Benesyst, may have the authority to update or correct your personal information. If this information is the type that only your employer can update or correct, we'll forward your request to your employer.

Cookies

A cookie is a piece of data stored on the user's hard drive containing information about the user. Usage of a cookie is in no way linked to any personally identifiable information while on our site. Once the user closes their browser, the cookie simply terminates. We use cookies to manage security and sessions during each user visit. This allows us to validate a user as they visit each and every page, and also to limit the amount of time that a user may spend on the site so that if a user were to be interrupted during a visit, their data would not remain visible on the screen indefinitely.

Log Files

We use IP addresses internally to analyze trends, administer the site, track user's movement within the site, and gather broad usage information for our use in optimizing and upgrading the sit. IP addresses are not linked to personally identifiable information.

Notification of Updates

Occasionally, we may update this Privacy Policy. We'll notify you about material changes in the way we treat personally identifiable information by placing a notice on our Site. Any new Privacy Policy will apply to the information already collected at the time of the update. We encourage you to periodically review this Statement so that you'll always know what information we collect, how we use it, and to whom we disclose your information.
